Events terms and conditions

All bookings are made and accepted subject to the terms set out in these terms and conditions.

Bookings and payments

Full payment is required online or by card payment over the telephone before a firm booking can be made. In some cases invoices can be requested- please contact us for details. 

Booking confirmation

On receipt of the online booking or a telephoned credit card payment, an acknowledgement will be forwarded. Please check your junk email if you have not received this.  

Joining instructions

Joining instructions will follow in the weeks prior to the event. PTES cannot be held responsible for difficulties or delay caused by non-compliance with the joining instructions. Please check your junk email if you have not received these. We do not issue tickets to present at the event.

Cancellations

In the event of a cancellation by you prior to six weeks before the event, we will refund your money, minus administration costs of £5. However, we regret that if a cancellation is made within six weeks of the event taking place, we reserve the right to charge the full fee if we are unable to fill your place from a waiting list. Cancellations must be made as early as possible in writing (emails are accepted enquiries@ptes.org) and will be valid from the date of receipt by us.

Event modifications and cancellations

We reserve the right to change or modify itineraries or to cancel events in response to conditions beyond our control, including adverse weather or any other conditions and, in addition, to cancel an event and refund payments in full if booking quotas are not achieved within six weeks of the event taking place or for any other reason. A full refund terminates the contract and releases PTES from all liabilities. We also reserve the right to substitute alternative leaders due to illness or other causes of unavailability beyond our control. Event timings are approximate. The ability of PTES to contact participants to notify them of cancellation depends on full contact details being given and PTES accepts no liability for failure to contact participants in time if insufficient contact details have been given.

Wildlife sightings

Sightings cannot be guaranteed on any event. Joining instructions specify the clothing and behaviour necessary to maximise the chances of successful wildlife sightings. Leaders of events are authorised to exclude participants who, in their opinion, are likely to jeopardise the success of the event because they have not complied with these requirements.

Liability

PTES has researched all events listed on the website, taking reasonable measures to ensure that all venues and other facilities used are reputable. PTES however, has no control over these facilities and shall not be liable for any acts or omissions by any persons or agents in their employ. We assume no responsibility whatsoever caused for injury, loss or damage in connection with any service resulting directly or indirectly from: acts of God, detention, annoyance, delays & expenses arising from quarantine, strikes, thefts, pilferage, force majeur, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, government restrictions or regulations or acts of terrorism. 

Health and insurance

Bookings are accepted on the basis that all persons attending warrant that they are normally in good health. If this is not the case then a doctor’s certificate stating that it is entirely safe for you to go on the event you have chosen is required. Personal insurance for personal equipment, belongings and money is the responsibility of those booking and we accept no responsibility for loss or damage to guests’ personal belongings. For residential events, please do take out suitable travel insurance at the time of booking to cover you in case of cancellation, loss etc. This is not provided by PTES which is not in a position to make any refund for circumstances beyond their control.

Disabled access

On booking please make us aware of any access needs. While we will do everything we can to make access to events possible for people with disabilities, we can take no responsibility for the care and safety of people with disabilities who attend our events.

Photographs

Photographs taken by PTES staff and event attendees on any of our events may be used in our future publications to promote our work. Please let us know if you would not be happy for any photograph featuring yourself to be used in such a way.

Any person who makes a booking for or on behalf of any other person or group warrants and confirms that he/she has the authority of each such person to accept these conditions as agent for and on behalf of that person and that each such person agrees to be bound by these conditions.
